Polo HQ Pricing and Product Schedule

This Schedule forms part of the Polo HQ Terms of Service and Subscription, Trial, Billing, Cancellation and Refund Policy.
Core Plan prices and base capacities are displayed on the live Pricing Page, Plan-selection step and Review step. The figures accepted immediately before checkout govern the order. This Schedule records the current core Plan prices and inclusions, optional-product prices, Capacity Pack rules and Club Practices allowances introduced or confirmed by the 22 August 2026 commercial update, which also withdrew grouped module Bundles from sale. The Club Pro price was last revised on 2 October 2026; subscriptions taken out before a price revision keep the price in force when they were purchased until the subscription changes or ends.
1. Billing intervals
All prices are in pounds sterling. Monthly products recur monthly. Annual pricing is ten times the corresponding monthly price and is charged annually.
Annual pricing therefore reflects the equivalent of two months without charge compared with paying the monthly price for twelve months. It is a discounted annual billing commitment, not a separate free entitlement.

The Analytics module is included at no additional charge in every Plan from Player Lite upwards. The Timeline and Tournament Tracker modules are included at no additional charge in every Plan from Player Pro upwards. Player Free includes none of the three. None of them is sold as an Add-on.
Club Pro is the complete Club operating tier. In addition to the Club core functionality (including Practices), Club Pro includes the Stables, Financials and Competitions modules, and carries unlimited monthly Practices, unlimited monthly Lessons allowance and unlimited active Maintenance task allowance as described in sections 5 and 7. Breeding is not included in any Plan and remains a separately chargeable Add-on.
A module included in a Customer's core Plan is not sold to that Customer again as a standalone Add-on.
3. Account-Type eligibility
Player
Player Accounts cannot purchase Practices, Lessons, Competitions, Practices Capacity Packs or Lessons Capacity Packs. Paid Player Accounts may purchase eligible operational modules and, after signup, eligible Capacity Packs shown below.
Player Free cannot purchase any paid Add-on or Capacity Pack. It must upgrade to an eligible paid Player Plan first.
Team
Team Accounts may purchase Practices, Lessons, Competitions, eligible operational products, Team-player Capacity Packs and relevant module Capacity Packs. They cannot purchase Club-member packs or Club-only functionality.
Club
Club Accounts include Practices subject to section 7. They may purchase Lessons, Competitions (Club Starter), eligible operational products, Club-member Capacity Packs and relevant module Capacity Packs. Club Pro Accounts are not offered Stables, Financials or Competitions as paid Add-ons, nor Capacity Packs for allowances that are unlimited on Club Pro, because those entitlements are included in the Club Pro Plan.
4. Add-ons
Add-ons are individual optional modules. They may be selected during signup or added later from Plan and Billing.

5. Capacity Packs
A Capacity Pack increases an existing allowance. It does not independently grant access to the relevant module.
Capacity Packs are not offered during initial signup. They are available after signup from Plan and Billing, and Polo HQ may also offer the relevant pack contextually when a Customer reaches a capacity limit.
A Capacity Pack is not sold where the corresponding allowance on the Customer's Plan is unlimited, because the purchase would have no effect. This is enforced server-side.

6. Capacity Pack quantity limits

Pack limits are configurable. Polo HQ may change availability or limits for future purchases, require a Plan upgrade where requested capacity is unavailable, or offer bespoke pricing for unusually large or non-standard Accounts.
7. Club Practices and Club Pro operational allowances

Additional Practices for Club Starter are sold in packs of 10 for £15 monthly or £150 annually.
On Club Pro, the monthly Practices allowance, the monthly Lessons allowance and the active Maintenance task allowance are unlimited. Usage continues to be recorded. Unlimited allowances are subject to fair, lawful operational use of the Service; they are not a licence for automated or abusive record creation. Horse, User and Club-member capacities on Club Pro remain subject to the Plan's stated base capacities and any Capacity Packs purchased.
Practices access on other Plans is subject to the stated monthly allowance and is not unlimited unless Polo HQ expressly says otherwise.
8. Bundles withdrawn from sale
Grouped module Bundles (previously the Operations Bundle, Player Operations Plus, Team Full Bundle and Club Full Bundle) were withdrawn from sale in the 22 August 2026 commercial update. No Bundle can be purchased through signup, Plan and Billing, or any Polo HQ interface or API.
Any Bundle lawfully active on a subscription before withdrawal continues to be honoured for that subscription until the subscription changes or ends. Historical Bundle records are retained for billing history.
The current commercial model is: a core Plan, plus optional individual modules, plus Capacity Packs purchased after signup where required.
9. Cheapest-valid-package protection
Polo HQ validates packages within the selected Account Type. It considers required modules and capacity, core allowances, eligible Add-ons, Capacity Packs, pack limits and the selected billing interval.
It does not compare Player, Team and Club Account Types as interchangeable products.
Polo HQ may remove incompatible or duplicated items and may propose a lower-priced Valid Package that supplies the same or greater requested entitlement. For example, it may replace a lower Plan plus individually selected modules with a higher Plan where the higher Plan covers the requested entitlement at a lower or equal recurring price.
The corrected products, reason and recurring total must be shown to the Customer and confirmed before checkout or a subscription amendment.
10. Invalid combinations
Polo HQ may reject or correct, including server-side:

Player Free with any paid extra;

Player Accounts with Practices or Lessons products;

cross-persona player or member packs;
-
Capacity Packs without the required parent entitlement;

Capacity Packs for an allowance that is already unlimited on the Customer's Plan;

pack quantities above the applicable limit;
-
any Bundle purchase; and
-
standalone purchase of a module already included in the Customer's core Plan.
Attempting to submit an invalid combination does not create a right to purchase or use it.
11. Taxes and checkout priority
Applicable VAT or other taxes are displayed at checkout where required and known. The final Review step and Stripe Checkout must show the itemised recurring package and amount before confirmation.
If a price or product description in an earlier marketing page conflicts with the final itemised Review step because the catalogue was updated, the Customer must be shown and accept the corrected current price before purchase. Mandatory consumer rights remain unaffected.
